OUR PROCESS


At Rhian Ward-Moody Events, our Day of Coordination service is designed to ensure that your wedding day runs seamlessly while you stay fully present and soak in every moment. Once you book with us, you’ll immediately receive a welcome packet that outlines our process, helpful planning tips, and an intake form that helps us get to know you and your wedding vision better. This starts our partnership and sets the stage for a well-supported, joyful planning experience.

Within two weeks of booking, we’ll schedule your Intake Meeting—either virtually or in person—to dive into the details of your big day. We’ll go over your vendor list, contracts, and wedding vision. This is our opportunity to learn what’s most important to you, identify any planning gaps, and start mapping out our path to coordination.

As your wedding approaches, we stay behind the scenes, but very much in sync. We’ll connect with each of your vendors—introducing ourselves, confirming their arrival times, reviewing their roles, and ensuring everyone is aligned. Our Vendor Review meeting with you happens shortly after these calls, allowing us to walk you through what we've confirmed and answer any outstanding questions.

About six weeks before your wedding, we’ll schedule a Timeline + Logistics Meeting to review the flow of the day from start to finish. We’ll finalize the ceremony processional, reception order of events, vendor arrivals, and any transitions throughout the day. You’ll leave that meeting with a custom timeline and the confidence that everything is fully organized.

Roughly a month before the wedding, we’ll meet again to finalize decor placement, manage personal items and signage, and make a plan for any pickups or drop-offs. If you’re incorporating meaningful details—like family heirlooms or cultural elements—this is the time we make sure they’re handled with care and intention.

During wedding week, we’re with you every step of the way. We’ll lead your venue walkthrough, facilitate the ceremony rehearsal, and be fully present on your wedding day to manage every moving part. From vendor check-in to bustling your dress, cueing toasts to packing your gifts, we handle it all so you don’t have to.

After your wedding, we follow up with a final debrief to tie up any loose ends and share a recap of the day. We’re often the last ones to leave your venue and the first ones to cheer you on as newlyweds. Our goal is simple: to make your wedding feel effortless, joyful, and uniquely yours.
